How To

Location: LEAP Menu > Reports > Office > Office Receipts Report

Purpose: Provides a comprehensive list of Office Receipts dated within a specified period. The report enables you to track, monitor and analyse funds received from clients or other sources within the specified period. You can refine results based on deposit status, associated bank account and payment method, such as BACS, Cheque and cash. The Office Receipts Report can be used to show receipts credited into the account when money is received from a client regarding a matter.

Important Notes:

The report categorises receipts into two types: 'Deposited Funds' and 'Undeposited Funds':

Deposited Funds: These are receipts linked to a specific Office Bank Account, such as EFT receipts. They will appear in the report only when the 'Bank Account' filter is set to 'All' or the specific bank account.
Undeposited Funds: These are receipts not linked to any Office Bank Account, such as Cash or Cheque receipts. They will be included in the report only when the 'Bank Account' filter is set to 'All' or 'Undeposited Funds'.

Convert Undeposited Funds into Deposited funds: Once an Office Bank Deposit is created for the receipt of Undeposited Funds, indicating that the funds have been deposited into a specific Office Bank Account, the receipt will no longer be categorised as 'Undeposited Funds'. Consequently, it will be included in the report when generated for that particular Office Bank Account.

Report Filters:

Date Range	Displays receipts created within the specified period, based on receipt's Transaction Date.
Bank Account	Choose one of the following options: All: includes receipts linked to any Office Bank Account(s) as well as undeposited receipts. It facilitates a comprehensive view of all receipts, regardless of their deposit status or associated bank account. Undeposited Funds: Includes Undeposited receipts only. It focuses specifically on receipts that have not yet been deposited into any Office Bank Account. Specific Office Bank Account: Includes receipts deposited into a specific Office Bank Account. Users can choose a particular bank account to view receipts associated with that account exclusively.
Payment Types	Select one or more payment methods to refine results or 'All' payment methods.
Expand Row Groups	Yes: Expand the row groups by adding further information: Matter Number Client Name Invoice Numeber No: Hide Matter Number, Client Name and Invoice Number.

Report Fields:

Date	Transaction date of the receipt.
Receipt No	Reference Number of the receipt, also known as the Transaction Number. NOTE: If a receipt reversal is included in the report, it will have the same Rec. No as the original receipt. However, the amounts within the entry will be enclosed by parentheses, indicating that it is a reversal.
Payment Type	Payment method of the receipt. Matter number/Matter's client: If the entry is expanded, the 'Payment Type' column also displays the receipt's 'Matter number/Matter's client'.
Debtors Mailing Address	The debtor and the debtor's mailing address. NOTE: This is derived from the data entered or populated in the 'Mailing Address' field within the 'Office Receipt' window.
Memo	The receipt's memo: it falls into one of three categories: 'Payment; [Client's surname]': This indicates a typical receipt transaction. 'Client Accounts to Office Transfer': This indicates that the receipt was generated through 'Client Accounts to Office Transfer'. 'Reversal: Payment; [Client's surname]': This indicates that the entry is a reversal transaction, reversing a previous receipt. Invoice Number: If the entry is expanded, the Memo column also displays the the invoice Number (if applicable). This is only relevant when the receipt has been applied to invoice.
Reversed Date	The receipt’s reversal date. NOTE: This field pertains exclusively to a receipt that has been reversed at the time of report generation. If the specified date range covers the reversal's transaction date, the reversal will be presented as an entry in the report. The report shows both the receipt and its reversal only when their transaction dates are both within the specified period. This allows them to cancel each other out in value.
*Expand Row Groups*	Add three columns to provide further information for the receipt: Matter Number: The associated matter numbers(s). Client Name: The associated client name(s). Invoice Number: The number of relevant invoice(s).
Amount Ex Tax	The receipt’s value allocated to non-tax components.
Tax	The receipt’s value allocated to tax components.
	NOTE: 1. The receipt value is allocated between 'Amount Ex Tax' and 'Tax' in proportion to their amounts on the invoice. 2. No value is allocated to tax if the receipt only generates a credit under the Credit Ledger.
Amount Include Tax	The receipt’s value inclusive of tax.
