Office Payments Report

Location: LEAP Menu > Reports > Office > Office Payments Report

Purpose: Lists all Office Payments issued from a selected Office Bank Account within a specified period. It provides a comprehensive overview of Office Payments processed through the chosen Office Bank Account, allowing you to track and analyse those payments made during the selected timeframe. The report also allows you to narrow down results based on 'Payment Type'.

Additional notes: 

  • The report includes a payment reversal provided that the reversal date falls within the specified period.
  • The report includes payments generated within both the 'Payments & Debtor' ledger and the 'Credits Ledger' of a matter. A payment is created within the 'Credits Ledger' using the 'New Refund' function.

Report Filters:

Date RangeDisplays Office Payments dated within the specified period. 
Bank AccountSelect from a list of Office Bank Accounts.
Payment TypesSelect from a list of Payment Types.
Expand Row Groups: 

  • Yes: Expands each row to display the Expense transaction's transaction description, matter number and client information.

  • No: Hides the transaction description, matter number and client information.

Report Fields:

DateTransaction date of the payment.
Pay No

Reference number of the payment.

NOTE:

If a payment reversal is included in the report, it will have the same Pay No as the original payment. However, the amounts within the entry will be enclosed by parentheses, indicating that it is a reversal.

Application Settings determines Transaction Numbering. You can manually set the last Transaction Number in Application Settings. To do so, please go to the LEAP Menu > Settings > Application Settings > Accounting > Bank Account > Office/Client Funds > click the account > Last EFT No. and Last Cheque No. are set here > Amend the entries > click Save.

Payment Type

The payment method used for the payment, such as EFT, Cash, Credit Card, or Cheque.

Payee 

The payee of the payment and the payee's address. 

NOTE:

If the item is expanded, the following information will be displayed within the column: 

  • Matter number.
  • Matter's client name. 
Added Columns When Expanded

When expanded, the following three columns will be added: 

  • Description: Display the following:
    • The payment's Description entered, if the entry is a office payment created within the 'Payments & Debtor' ledger.
    • 'Refund credits:', followed by the refund reason entered, if the entry is a payment created within the 'Credits Ledger' (e.g., 'Refund credits: Client refund').
    • 'Reversal:', followed by the original payment's Description, if the entry is a reversal of a payment (e.g., 'Reversal: Council fees').
  • Matter No.: The relevant matter's matter number. 
  • Client: The relevant matter's client. 
Reversed Date

The payment's reversal date.

NOTE:

  • This field pertains exclusively to a payment that has been reversed at the time of report generation.
  • If the specified date range covers the reversal date, the reversal will be presented as an entry in the report.
  • The report shows both the payment and its reversal when their transaction dates are both within the specified period. 
Amount Ex TaxThe payment's value exclusive of tax. 
TaxThe payment's tax amount. 
Amount IncThe payment's value inclusive of tax.
