From within the Details & Correspondence tab of the matter, click on the Legal Aid Matter Details button.

Check the Branch, Court, Case Number and Litigator’s Name have been entered.

Click Save & Close.

Click the Defendants details.

Enter in the Rep Order (MAAT ID), and Rep Order Date.

Click OK.

Click on the Time & Fees tab.

Ensure all time and fee items have been entered.

To claim any additional bolt on payments, click the drop-down arrow next to the New Billable Items button in Time & Fees and select AGFS Bolt On Payment.

Using the drop-down options select the relevant Date, Staff member, Advocate Grade, Fee item and the Quantity (if applicable).

Click Save & Close.

Navigate to the Cost Recovery tab within the Office Accounting tab.

Ensure all the cost recovery items have been entered.

Click on the drop-down arrow for New Invoice.

Select Rep in the Crown Court - AGFS. 

Enter the relevant reporting codes for Trial Type, Case Type, Advocate Type, Offence Category, Offence Band, Defendants, Date Concluded, and Date Billed.

Enter additional information depending on the trail/case type being claimed.  Information such as Additional Case, Estimated Days, Actual Days, Retrial Start, Retrial End, Estimated Days, Actual Days, Discontinuance, Retrial, Notice Date, 1st Fixed, Case cracked and Which 3rd.

The Status of the invoice can be set to Draft - Unapproved, Draft - Approved or Final – Printed/Sent by using the drop-down menu. The default selection is Final – Printed/Sent.

Check the information and click Save & Close to finalise and save the invoice to the matter. The invoice line item will be displayed within the Office Accounting ledger.

If you wish to upload your claim directly into the CCCD portal, double click to open the invoice and click the Up arrow.

When the claim is uploaded to the portal, it is uploaded in draft format and will need to be confirmed.

Log into the portal to review the list of claims.  https://claim-crown-court-defence.service.gov.uk/ 

Find the claim that has just been uploaded and review the claim information.

On reviewing the claim, you will be able to amend or add any information and upload supporting documentation.
